Project Summary

This was a web-based portal we designed for Daikin Arabia to help their internal teams work more efficiently with vendors.
Earlier, everything was happening over emails, Excel sheets, and manual approvals, which made things slow and confusing.
So we created a digital platform to handle onboarding, invoicing, and order tracking all in one place.

Why Was This Needed?

Daikin’s old vendor process had a lot of problems:

  • Too many email chains and manual steps
  • Delays in payments and invoice approvals
  • Miscommunication between vendors and internal teams
  • No clear way to track things

We saw a big opportunity to save time and reduce errors by centralizing all tasks — like vendor registration, invoice submissions, PO tracking — and giving each user (vendor/admin/finance) their own dashboard with clear info.

About the Client

Daikin is a global HVAC company operating in over 150 countries.
Daikin Arabia handles the Middle East region. They needed something designed for their regional workflows and mixed vendor base, so we kept their unique challenges in mind.

Project Goals

  • Build a one-stop web portal for all vendor activities
  • Remove manual tasks and replace with automated flows
  • Design role-based dashboards
  • Ensure full accessibility (WCAG standards)

My Role & Key Tasks

As the UI/UX Lead, I handled the full design process. I worked with one junior designer, developers, and project managers.
My tasks included:

Design Process

  1. Discovery – Interviewed real users to understand their daily problems
  2. Wireframes – Built task-specific flows like vendor signup, invoice status, and PO management
  3. UI Design – Made clean, modern screens with proper color contrast and readability
  4. Prototyping – Clickable flows for each user type (vendor, admin)
  5. Handoff & QA – Provided ready-to-code assets and supported developers

Key Features I Designed

  • Vendor Onboarding – Smooth document upload and approval flow
  • Invoice Generation – Auto-validation and status tracking
  • Order Tracking – Linked POs, GRNs, and delivery updates
  • Admin Controls – Edit/deactivate vendors easily
  • Dashboards – Different views for vendors, business team, and procurement

  • Delivered a design that followed WCAG accessibility standards

  • Leading high-stakes enterprise UI/UX projects for global clients
  • B2B design needs to be very clear and role-specific
  • Empathy matters — especially for vendors unfamiliar with digital tools
  • Accessible design helps everyone — not just people with disabilities
  • Communication between design and devs makes or breaks implementation
  • Facilitating effective communication between business, design, and development teams
  • Translating complex workflows into clean, intuitive interfaces
  • Applying stakeholder feedback to scalable design improvements
